Lodging Itemization Change
A recent Chrome River upgrade simplifies reconciliation for prepaid lodging. Expense report submitters are no longer required to itemize nightly room rates and taxes on expense reports. Instead, all nightly rates and taxes are reconciled as a single lump sum, known as Lodging Room Rate Plus Taxes/Fees. Click here to read more about the update.
The Reconciling Prepaid Travel Expenses document was also updated to reflect this change. You may need to clear your browser's cache to view the updated document if you have accessed an older version before today.
Expense Report Routing Update
As of January 2021, Chrome River reports which only contain expenses listed as $100 or less per expense or which only contain mileage will no longer route to Travel Management Services (TMS) for review. Instead, final approval will be granted by the regular travel document approver. This enhancement allows TMS to prioritize review of higher risk reports and results in quicker reimbursements.
Pre-Approval in Chrome River
Pre-Approval functionality is now added to Chrome River. The Pre-Approval report in Chrome River is required for all university-sponsored travel. Review the FAQs to learn more or check out the new written documentation to learn more.
To prepare staff for this new functionality, the VPCFO Training & Communications team will host webinars designed for both Traveler/Arrangers and Approver audiences. Click here to view a list of date and register for a session.
COVID-19 Mandatory Domestic Travel Guidance
Starting June 1, 2020, new mandatory travel guidance was implemented in response to the COVID-19 pandemic. The guidance for travel within the United States is in addition to existing IU travel policies; they supersede existing policies only where there is a specific conflict.
